The Hidden Fees Your 3PL Hopes You Never Notice

Most 3PL sticker shock isn't an accident. Here's where hidden fees actually come from, and three questions to ask before you sign.

Most 3PL sticker shock doesn’t happen at signing. It happens on invoice two, when a line item shows up that nobody mentioned on the sales call. That’s not bad luck, it’s just how the industry works. Ask any 3PL for a full, itemized invoice before you sign anything. If they can’t hand one over, that’s your answer.

Where the fees actually hide

Storage overage fees. Your quote covers a set number of pallets or bins. Go over, even a little, and a daily or monthly rate kicks in that nobody brought up.

Receiving fees. Getting inventory into the warehouse often costs extra, separate from the pick and pack rate everyone compares when shopping quotes.

Minimum order penalties. Fall short of a monthly volume minimum and some 3PLs charge you for the difference, no matter why volume dipped.

“Custom” packaging surcharges. Anything past the most basic pick-and-pack, poly bags, inserts, whatever, can carry a fee that was quoted as “minimal” and never actually itemized.

Account and tech fees. A flat monthly charge for platform access, tacked on after you’re already committed.

None of this is illegal. It’s just left out of the pitch and buried in a rate card most brands never see until they’ve already signed.

What a clean invoice looks like

A good 3PL invoice traces every dollar to something you understand: receiving, storage, pick and pack, shipping, and whatever extras you actually asked for. If a line item needs a phone call to explain, that’s a problem, not a rounding error.

Three questions to ask before signing with anyone

  1. Can I see a real sample invoice for a brand my size? Not a rate card, an actual invoice.
  2. What happens if I go over my storage or volume estimate? Get the number in writing.
  3. What counts as “custom,” and what does it cost? A vague answer means a vague invoice later.

Bottom Line

Hidden fees aren’t really a 3PL problem, they’re a transparency problem. Ask for the real numbers up front, and work with someone who shows them to you without being asked twice.
